Important Notice
This booking form and agreement applies to First Class Van Rental services, including bookings with driver/chauffeur, airport transfers, city tours, out-of-town trips, events, standby service, and approved self-drive rentals. By submitting and signing this form, the Client/Renter confirms that all information provided is true and agrees to follow all terms below.
Booking Request and Confirmation
Submitting this form does not automatically confirm the booking. A booking is only confirmed after First Class Van Rental reviews the request, confirms vehicle and driver availability, approves the itinerary, and receives the required deposit or agreed payment. First Class Van Rental may decline, cancel, or modify any booking for safety, verification, scheduling, payment, road condition, weather, vehicle protection, or operational reasons.
Rates, Inclusions, and Exclusions
Rates depend on the service type, destination, trip duration, pickup time, standby hours, driver arrangement, fuel arrangement, and special requests. Unless clearly stated in writing, quoted rates do not include fuel, parking, tolls, entrance fees, ferry/RORO fees, accommodation, meals, overtime, cleaning, delivery fees, waiting time, and other trip-related expenses. Any additional expenses during the trip shall be paid by the Client/Renter.
Payment, Deposit, and Balance
A reservation deposit may be required to secure the booking. The remaining balance must be paid before or upon release/start of service unless otherwise approved in writing. Deposits may be non-refundable for late cancellations, no-shows, last-minute changes, or when the booking caused First Class Van Rental to reject other customers.
Security Deposit for Self-Drive
A refundable security deposit of ₱3,000 is required for all self-drive bookings. The deposit may be used to cover damage, scratches, dents, windshield or glass damage, tire damage, lost keys, missing tools/accessories, cleaning, late return, fuel shortage, traffic violations, towing, impounding, penalties, repair downtime, or any cost caused during the rental period. If the deposit is not enough to cover the cost, the Client/Renter agrees to pay the remaining balance.
Service Hours and Overtime
For bookings with driver, regular service is generally based on the agreed trip schedule and may be limited to 10–12 hours per day for safety. Trips that exceed the agreed hours may be charged overtime, extended-hour fees, or a full additional day, especially if the vehicle or driver cannot reasonably accept another booking the next day. For 24-hour or overnight use, rates must be agreed in writing before the trip.
Late Return / Extension
The vehicle must be returned or released at the agreed date, time, and location. Late return without approval may result in extra hourly charges, extra day charges, driver overtime, and other costs. Extensions are subject to availability and must be approved before the original return time. Unauthorized late return may be treated as a serious breach of agreement.
Pickup, Drop-Off, Waiting Time, and Standby
The Client/Renter must be ready at the agreed pickup time and location. Excessive waiting time may be charged. Changes in pickup, drop-off, route, or itinerary must be approved by First Class Van Rental. For standby service, the vehicle and driver are reserved for the agreed booking period only.
Passenger Capacity and Baggage
The vehicle must not exceed the allowed passenger capacity and safe baggage load. First Class Van Rental may refuse unsafe overloading, excessive baggage, or any arrangement that may damage the vehicle or compromise passenger safety.
Self-Drive Verification Requirements
Self-drive renters must provide valid government ID, valid driver's license, complete address, employment or business details, emergency contact, and any additional verification requested. First Class Van Rental may request proof of billing, social media profile, employer confirmation, references, or other supporting documents. Approval is not guaranteed. First Class Van Rental may reject a self-drive request if verification is incomplete, suspicious, inconsistent, or unsatisfactory.
Authorized Driver Only
For self-drive rentals, only the approved driver/s listed and accepted by First Class Van Rental may operate the vehicle. The vehicle must not be driven by an unapproved person, minor, person without a valid license, person under the influence of alcohol or drugs, or any person not declared during booking. Allowing an unauthorized driver is a major breach of agreement and may make the Client/Renter fully liable for all losses, damage, claims, and penalties.
Vehicle Condition, Inspection, and Return
The Client/Renter agrees to inspect the vehicle before release and report any existing damage before using the vehicle. Photos or videos may be taken before and after the trip. The vehicle must be returned in the same condition as received, except for normal wear. Damage not recorded before release may be charged to the Client/Renter.
Fuel Policy
Unless fuel is included in the written quote, fuel is not included. For self-drive, the vehicle must be returned with the same fuel level as released, unless another arrangement is approved. Fuel shortage may be deducted from the security deposit or charged to the Client/Renter.
Cleaning and Odor Policy
The vehicle must be returned reasonably clean. Cleaning fees may apply for excessive dirt, mud, sand, food spills, stains, vomit, strong odor, smoking smell, pet hair, or any condition requiring special cleaning or detailing.
Prohibited Use
The vehicle must not be used for illegal activities, racing, reckless driving, towing, pushing another vehicle, off-road driving, overloading, transporting hazardous materials, transporting contraband, subleasing, ride-hailing without approval, political caravans without approval, or travel outside the approved destination/route. Smoking, drinking alcohol inside the vehicle, and carrying illegal drugs or weapons are strictly prohibited.
Pets, Food, and Special Items
Pets, strong-smelling goods, wet items, seafood, paint, chemicals, or bulky items are not allowed unless approved in writing. Any damage, odor, stain, or cleaning required due to these items will be charged to the Client/Renter.
Traffic Violations, Checkpoints, and Government Penalties
The Client/Renter is responsible for all traffic tickets, parking violations, towing, impounding, checkpoint issues, fines, penalties, and legal consequences caused by the Client/Renter, passengers, itinerary, cargo, or self-drive use during the booking period.
Accident, Breakdown, Emergency, or Vehicle Issue
Any accident, damage, breakdown, warning light, tire issue, overheating, theft, loss, police matter, or emergency must be reported to First Class Van Rental immediately. The Client/Renter must not abandon the vehicle, continue driving when unsafe, authorize repairs, or negotiate settlements without approval unless required for immediate safety. Failure to report immediately may result in additional liability.
Damage, Loss, Theft, and Liability
The Client/Renter is responsible for damage, loss, theft, missing items, repair costs, insurance participation/deductible, downtime/loss of income, towing, recovery, storage, and other expenses caused by negligence, misuse, unauthorized driver, prohibited use, late reporting, or breach of agreement. First Class Van Rental may use repair estimates, official receipts, mechanic assessment, or reasonable market cost to determine charges.
Insurance Limitation
Any insurance coverage, if applicable, is subject to the terms, limits, exclusions, deductible/participation fee, and approval of the insurance provider. Insurance may not cover all damage, loss, personal belongings, negligence, unauthorized drivers, prohibited use, or violations of this agreement. The Client/Renter remains responsible for costs not covered by insurance.
Personal Belongings
First Class Van Rental is not responsible for lost, stolen, or damaged personal belongings left inside the vehicle. Clients/Renters are responsible for checking the vehicle before leaving or returning it.
Cancellation, Rescheduling, and No-Show
Booking changes and rescheduling are subject to availability. Cancellations must be communicated as early as possible. Deposits may be forfeited for late cancellation, no-show, or sudden changes that affect the business schedule. Refunds, credits, or rescheduling are subject to management approval and may depend on the reason, timing, and expenses already incurred.
Early Return
Returning the vehicle earlier than the agreed schedule does not automatically qualify for refund or rate reduction, especially when the booking was reserved for a full day, multiple days, or a fixed service period.
Force Majeure and Road Conditions
First Class Van Rental is not liable for delays, cancellations, rerouting, or service interruptions caused by weather, flooding, road closures, accidents, checkpoints, mechanical emergencies, ferry/RORO delays, government restrictions, civil disturbance, natural disasters, or other events beyond reasonable control. Reasonable efforts will be made to assist the Client/Renter.
Right to Refuse or Stop Service
First Class Van Rental may refuse, cancel, or stop service if the Client/Renter or passengers become abusive, unsafe, intoxicated, threatening, dishonest, non-compliant, or if continuing the trip may endanger the driver, vehicle, passengers, or business.
Data Privacy and Verification Consent
The Client/Renter allows First Class Van Rental to collect and use submitted information for booking, identity verification, safety, payment, dispute handling, and recordkeeping. Information may be used to contact references, employer, emergency contact, or authorities when necessary for verification, vehicle recovery, legal compliance, or safety.
Agreement and Electronic Signature
By checking the agreement box and signing electronically, the Client/Renter confirms that they have read, understood, and voluntarily agreed to these Terms and Conditions / Rental Agreement. The electronic signature, submitted form, messages, payment proof, and booking confirmation may be used as record of agreement.
